Job Title: Chief of Staff to the CEO

Position summary

The Chief of Staff to the CEO is a high-trust executive partner responsible for driving CEO effectiveness, managing daily operations, and ensuring seamless coordination across leadership, programs, and external stakeholders. The role enables the CEO to focus on strategic leadership, external engagement, and organizational growth by owning execution, follow-ups, and information flow across the organization.

Key responsibilities

Executive Support & Calendar Management

  • Manage CEO calendar end-to-end, ensuring prioritization and zero conflicts
  • Coordinate internal/external meetings, agendas, and briefing notes
  • Manage scheduling across stakeholders and time zones

Leadership Coordination & Reporting

  • Conduct structured check-ins with CEO reportees
  • Compile concise updates on program delivery, operations, and blockers
  • Prepare daily/weekly briefing summaries for CEO decision-making

Representation & Stakeholder Management

  • Represent CEO in meetings when delegated
  • Capture minutes, decisions, and action points
  • Manage follow-ups with internal and external stakeholders

Action Tracking & Execution

  • Maintain live tracker of commitments, deliverables, and deadlines
  • Follow up with departments on execution and progress
  • Escalate delays and risks to CEO proactively

Research, Presentations & Documentation

  • Develop CEO-level presentations, briefs, and board materials
  • Synthesize inputs from teams into structured outputs
  • Maintain organized and confidential document systems

Communications & Visibility

  • Support CEO-level social media and digital communications
  • Coordinate organizational messaging with communications team
  • Maintain consistency in tone and external engagement

Requirements

Education

  • Bachelor’s degree in Management, Public Administration, Communications, or related field

Experience

  • 5+ years in executive support, coordination, or senior program roles
  • Experience in NGO, development, or international organizations preferred

Skills

  • Strong command of Google Workspace (Calendar, Drive, Docs, Sheets)
  • Excellent written and verbal communication (English required)
  • Strong organizational, coordination, and multitasking ability
  • Experience with social media management

Preferred

  • Master’s degree or relevant certifications
  • Experience with donor-funded programs, M&E, or reporting
  • Familiarity with tools like Notion, Asana, Trello, Monday.com
  • Strong AI tool literacy (ChatGPT, Claude, Gemini, etc.)
