  Summary of Key Functions                                                            

Under the guidance of Project Manager, the Field Coordinator, would assume overall responsibility for managing projects in Punjab and Sindh. It includes planning and coordinating to ensure smooth implementation of CBP project activities in adherence to project description document, organizations logistic, human resources, administration and security procedures, as well as donors’ requirements. The candidate will work to sustain intervention in relevant area by generating support from local as well as provincial relevant department and authorities, partners as well as refugee community. The candidate will also establish and maintain coordination with provincial and district authorities to keep the relevance of the existing interventions, identify & contribute for new interventions and acquire relevant authorization

Roles and Responsibilities:

  • Act as a role model and custodian for the rules and regulations and ensure all operations are conducted within the provided framework of the organization.
  • Ensure the consistency of project as per project document adhering to policies, within the available funds.
  • Depending on the context and needs, the Field Coordinator is responsible to adjust the implementation in collaboration with the HO.
  • Provides support and guidance to project team. S/he is responsible to develop and implement support mechanisms to empower field team to handle field matters autonomously as per Organizational rules and regulations by maintaining vigilance, oversight and due diligence.
  • He/she is responsible for project planning, through the design and implementation of the necessary programming tools (including Gantt Charts) allowing sufficient and timely anticipation for the smooth implementation of operations.
  • He/she ensures project implementation, through the set-up and use of the necessary and adequate implementation and follow-up tools. Field Officer - Team Leader is especially responsible to ensure that activities planned are timely implemented and that any difficulty encountered is reported to HO to make sure it is addressed in a timely and appropriate measure.
  • Ensures organizational procedures and donor regulations applicable to projects implemented in respective offices with regards to program, logistics, security, HR, and administration are closely followed.
  • Responsible for ensuring timely communication flows between the field team and HO, through the implementation of specific tools (weekly reports, monthly report, quarterly report, etc.).
  • Responsible for maintaining good inter-team communications, engender good team dynamics, and take suitable action whenever problems occur. Support team members professionally and monitor and support stress management, including regular documented team meetings for planning and reporting purposes.
  • Responsible for on-the-job training for field team by identifying training needs
  • Responsible to provide support to the field site's HR lead, ensuring recruitment, staff orientation, leave management and exit management processes are carried out timely and in line with relevant policies and procedures.
  • Required to represent Organization at all relevant forums pertaining to project needs that include meetings with donor, humanitarian actors, local authorities, security etc. on regular basis. Moreover, as and when requested by the HO.
    • S/he is responsible to organize regular meetings with provincial and district authorities and with the community leaders to maintain a full adherence to -organization programs
    • Responsible to manage the visit of donors' representative’s/HQ visitor’s/Projects evaluators, other stakeholders, to the field whenever requested.
    • Responsible to develop and maintain appropriate contacts to relevant interlocutors (such as governmental, religious and police departments and other humanitarian agencies).
    • Liaising with operations unit to ensure and expedite tasks necessary for smooth operations in the field.
    • Liaise with the Admin & HR and Finance officer in HO,
    • S/he requires to regularly review the project(s) spending are done within donor defined parameters. Similarly, to adjust the budget (as per need) in collaboration with programme and operations unit, whenever required.
      • S/He will ensure the budget allocations for each field activity and establishes periodic monitoring and follow-up mechanism with relevant supervisors.
      • S/he is responsible for the budget follow-up for activities, with assistance from the admin and finance assistant and ensures regular communication between field office and HO Islamabad (both ways communication).
      • Ensures the management of Human Resources in accordance with the organizational guidelines and HR policies and the legal requirements of the country; including recruitment and appraisals
      • Responsible for the safety of the staff, premises, materials and assets. S/he is required to sensitize and discuss matters related to security with relevant colleagues as and when required.
      • Monitors the political, economic, and social environment in the areas of intervention, assesses and analyses the risks, monitors and reports the security situation and develops security procedures relevant to the context.
      • Responsible for timely dissemination of various project(s) related reports/briefs to key stakeholders including donors.
      • Responsible for supervising staff is utilizing the available reporting mechanism (KOBO Toolbox) where and when required.
      • Arrange and participate in regular meetings
      • Participate in the writing of donor’s activity reports and proposals.
      • S/he may require to produce/contribute/write project proposals, log frame and related budget documents.
      • Perform other duties as assigned by the supervisor.
