Essential Responsibilities:
- Receive all incoming calls and place outgoing call.
- Take accurate messages/mails and ensure that the staff concerned is notified/delivered in a timely manner.
- Ensure the timely and accurate flow of information for Mercy Corps Offices including incoming and outgoing mails.
- Greet visitors to Mercy Corps Office answering general questions about Mercy Corps, redirect visitors when appropriate
- Maintain up to date information and the status/whereabouts of staff.
- Maintain PABX system and notify Supervisor proactively about any repair work if needed for PABX system
- Maintain a master telephone list of all Mercy Corps Offices including extension numbers for all staff.
- Prepare and regularly update contact details of staff/constant companion, INGOs, NGOs, Govt. agencies and suppliers.
- Processing Hotel, lunch, repair maintenance, courier, communication, utility and other operational payments.
- Strong follow up with finance team regarding timely processing of vendor’s payments
- Booking of Meetings halls for internal meetings and arrangement of refreshment when required
- Assist Sr. Admin officer in petty cash management including approvals and documentation.
- Receive all incoming mail and dispatch out-going mail.
- Maintain a log register for all outgoing and incoming mail
- Maintain the software for office consumables (pantry and stationery)
