A national non-profit organization working for education, community development, and social empowerment across Khyber Pakhtunkhwa is seeking a qualified and experienced professional "Manager Admin & Procurement" to join its management team. The organization implements multiple donor-funded projects aimed at promoting inclusive and sustainable development.
Position Overview
The Manager Admin & Procurement will be responsible for leading and managing administrative, procurement, HR and logistics functions at the head office and field level. The position ensures efficiency, transparency, and compliance with the organization’s and donors’ policies and procedures. The incumbent will play a key role in strengthening systems, supporting operations, and ensuring effective resource management.
Required Qualifications & Experience
-
Master’s degree in Business Administration, Supply Chain, Management, or related field.

Minimum 10 years of relevant experience in administration and procurement within national or international NGOs.

Proven experience managing Administration & procurement under donor-funded projects .

Strong negotiation, communication, and vendor management skills.

Excellent knowledge of MS Office and familiarity with procurement tracking systems.
- Exceptional communication, negotiation, presentation and partnership-building skills.
- Strong competencies in strategic planning, problem solving, and time management, with the ability to manage multiple priorities effectively.
- Ability to work under pressure and meet tight deadlines.

Key Responsibilities
Procurement & Supply Chain Management

Plan, lead, and coordinate all procurement of goods, works, and services in line with organizational and donor requirements.

Develop and monitor annual procurement plans in coordination with program and finance teams.

Lead the bid solicitation, evaluation, and contract award process through the Procurement Committee.

Maintain vendor database, conduct periodic market assessments, and ensure value-for-money principles.

Ensure transparent documentation, proper filing, and audit compliance.
Administration & Logistics
-
Oversee day-to-day administrative & HR operations at head and field offices.

Supervise HR, logistics, vehicle management, and asset control functions.

Manage leases, utilities, insurance, and maintenance of office infrastructure.

Ensure efficient communication and coordination support for program activities.

Supervise administrative and support staff for effective office management.
Compliance, Monitoring & Reporting
-
Ensure adherence to approved policies, procedures, and procurement thresholds.

Prepare regular procurement and administration reports for senior management.
-
Support internal/external audits and ensure availability of complete documentation.

Recommend process improvements for increased efficiency and accountability.
