Position summary

The Donor Data Management Officer will be responsible for maintaining accurate donor records, strengthening reporting systems, supporting RD budgeting, and enabling effective donor stewardship as the organization’s donor base and reporting requirements continue to grow. The role ensures that fundraising data and budgets are reliable, transparent, and usable for decision-making.

Key responsibilities

  • Maintain and regularly update donor records, including contact information, donation history, pledges, and donor restrictions.
  • Track donor giving patterns and support segmentation to improve fundraising strategies and engagement.
  • Develop and share periodic dashboards and reports on fundraising performance, donor pipeline, and trends.
  • Ensure timely donor acknowledgments, thank-you letters, and banking confirmations.
  • Support preparation of donor reports, proposals, and updates using accurate donor and financial data.
  • Maintain data integrity, confidentiality, and compliance with internal policies and reporting standards.

Requirements

  • Bachelor’s degree in Business Administration (BBA) with Finance as a major, or equivalent qualification in finance, accounting, or business management.

  • 3–4 years of relevant experience in donor data management, fundraising operations, finance, budgeting, or a similar role.

  • Prior experience in the non-profit sector is strongly preferred.

  • Strong analytical skills with attention to detail when managing financial and donor datasets.

  • Proficiency in spreadsheets (especially Excel), donor databases, and reporting tools.

  • Ability to work collaboratively with fundraising, finance, and communications teams.

  • Strong organizational, time-management, and data management skills.

Core responsibilities

  • Support preparation, monitoring, and tracking of the Resource Development (RD) budget, including projections, allocations, and variance analysis.

  • Coordinate with the finance team to reconcile donations, pledges, receipts, and budget records.

  • Strengthen internal reporting systems to ensure reliable, transparent, and decision-ready donor and financial data.

  • Assist senior management in analyzing fundraising performance and supporting budget-linked planning and decision-making.

  • Enable effective donor stewardship through accurate reporting, tracking, and financial accountability.
